Who we are

Our role under the DPDP Act
For member records a society or builder uploads (names, flat numbers, phone numbers, dues and payments), the society or builder is the Data Fiduciary and SocietyHisaab processes that data on their instructions. For data you give us directly, such as a demo request, SocietyHisaab is the Data Fiduciary.
What we collect
- Society and flat details, member names and mobile numbers.
- Bills, payments, receipts, expenses and other accounting records.
- Complaints, notices, poll responses and documents shared within the society.
- Your mobile number when you request a demo on this website.
How we use it
- To generate bills and receipts and send them over WhatsApp, SMS or the app.
- To reconcile UPI payments to the correct flat.
- To prepare ledgers and reports for the committee and its auditor.
- To contact you about the demo you asked for.
We never sell member data and never use it for advertising.
Consent
The first time you sign in to the app, we show this notice in simple words in Gujarati, Hindi or English and ask you to agree. Getting bills and receipts on WhatsApp is a separate choice. We record each consent and each withdrawal with the date and the notice version. You can turn WhatsApp messages off at any time from My data in the app; your bills still appear in the app.
Where data is stored
All data is stored on servers located in India, encrypted in transit and at rest. Access is limited to authorised committee members, the auditor the committee appoints, and SocietyHisaab staff who need it to provide support.
Retention
- Bills, receipts, vouchers and the books are kept for 8 years, as accounting law requires.
- The text of WhatsApp messages is removed after 6 months to 2 years, as the society chooses; only the delivery record stays.
- When someone leaves a society, their link to the flat is removed 1 to 5 years later, as the society chooses. If they have no other flat or society with us, their name and mobile number are erased.
- Demo requests from this website are deleted after one year.
- When a society closes its account, data is exported to the committee and then deleted within 90 days, except where the law requires us to keep it.
Your rights
Under the Digital Personal Data Protection Act, 2023 you can access, correct or erase your personal data, and nominate someone to exercise these rights on your behalf. In the app, My data lets you see and download your data, correct your name, turn WhatsApp off, and ask for erasure. You can also write to hello@societyhisaab.in. When we erase your data we remove your name, number and flat link; financial records the law requires stay, without your name where we can take it off.
